Why Excel works for invoicing
Excel calculates VAT and totals for you, keeps a record of every invoice, and is already on most computers. The Starter Kit's tracker is an Excel-compatible spreadsheet that logs income, expenses and your tax set-aside alongside your invoices.
What your Excel invoice must include
- The words "Tax Invoice" (only if you're VAT registered)
- A sequential invoice number and date
- Your and your client's names, addresses and VAT numbers
- Line items with amounts, VAT at 15% if registered, and the total
- Bank name, account number, universal branch code and payment reference
Excel tips that prevent mistakes
- Use a formula for VAT: =amount*0.15 — never type it by hand
- Lock your invoice number cell so duplicates can't happen
- Save each invoice as a PDF before sending — never send the editable file
