Tax invoice vs invoice vs receipt: which do South African freelancers need?
The difference between a tax invoice, an ordinary invoice and a receipt in South Africa, when to issue each, and why non-VAT vendors must not use the words 'tax invoice'.
Key points
- An invoice asks the client to pay
- A tax invoice is an invoice issued by a VAT vendor that meets SARS Section 20 requirements
- A receipt proves payment was received
- If you are not VAT registered, issue an 'invoice', never a 'tax invoice'
Invoice
Shows what you supplied, the amount, the due date and your banking details. Every freelancer needs one for every job.
Tax invoice
Only VAT-registered vendors may issue one. It must include the words 'tax invoice', your VAT number, a sequential number, the date, a description, and the VAT amount. Larger invoices also need the client's details and VAT number.
Receipt
Confirms the client paid: the amount, date, method and the invoice it settles. Useful for cash clients and for your own records.
