SARS tax invoice checklist (printable, 2026)
Tick-box checklist of every field a valid South African tax invoice needs under Section 20 of the VAT Act, plus the mistakes that get invoices rejected.
Before you send: the full tax invoice checklist
- The words "Tax Invoice" clearly at the top
- Your business name, address and VAT registration number
- Your client's name, address and VAT number
- A unique, sequential invoice number
- The date the invoice is issued
- A full description of the goods or services and the quantity
- The value of the supply, the VAT at 15% and the total — or a statement that the total includes VAT
Abridged tax invoice checklist
SARS allows a shorter (abridged) tax invoice for smaller supplies. It can leave out some of the client's details. Most business clients still ask for a full tax invoice so they can claim input VAT.
Getting-paid checklist
- Due date (for example 14 or 30 days)
- Bank, account name, account number and branch code
- A payment reference — use the invoice number
- Sent as a PDF, not an editable file
Not VAT registered?
- Do not use the words "Tax Invoice"
- Do not charge VAT
- Add "Not VAT registered" to the invoice
- Keep every other field — numbering, dates, description and banking details
Common mistakes
- Skipping or reusing invoice numbers
- Charging VAT without a VAT number
- Editing an issued invoice instead of issuing a credit note
- Leaving out the client's registered company name
Frequently asked questions
Can I make a tax invoice in Word or Excel?
Yes. SARS cares about the fields, not the software. Send it as a PDF so it can't be changed.
How long must I keep invoices?
SARS generally expects records to be kept for five years from the date of submission of the return they relate to.
What if I made a mistake on an invoice?
Don't edit or delete it. Issue a credit note that references the original invoice, then a new correct invoice.
