Statement of account template for South African businesses
What to include in a statement of account for South African clients: opening balance, invoices, payments, ageing (30/60/90 days) and banking details.
Quick answer
A statement of account lists everything a client has been invoiced and has paid over a period, and shows what they still owe. Send one monthly to clients with more than one invoice, and before any letter of demand.
What to include
- Your business details and the client's details
- Statement date and period
- Opening balance
- Each invoice and credit note with date, number and amount
- Each payment received
- Closing balance due
- Ageing: current, 30, 60 and 90+ days
- Banking details and payment reference
Tip
Clients' accounts teams often pay from statements rather than individual invoices. A clear statement speeds up payment and gives you evidence if you ever need to claim.

Frequently asked questions
Is a statement of account a tax invoice?
No. It's a summary. Each sale still needs its own invoice.
